By completing the Stall Holder Application you are agreeing to the following terms and conditions for the Ficifolia Festival 2022.

The Walking Parade commences at 4pm around the Football Oval.  A program of musical entertainment and other activities are planned to entertain the crowd throughout the afternoon and into the evening, concluding with a movie at 7:30pm and Fireworks at 9:30pm.

A. Exhibitor Agreement:

​

The Agreement outlines the responsibilities of the Ficifolia Festival Committee and the exhibitor. This includes but is not limited to:

​

• Site access (prior, during and after the event.)

• Site set up and dismantling procedures.

• COVID Safe, Occupational Health & Safety and Public Liability Insurance requirements.

• Other general information.

B. Exhibitor Requirements:

​

Exhibitors should hold a current certificate for Public Liability Insurance to the value of $20million (see details below.)

​

Where required you should hold a valid Streattrader certificate. 

​

You will require a COVID safe plan that needs to be uploaded when you apply and a copy should be brought on the day. 

​

On arrival at the Oval you must:

​

1. Check in using the Service Vicotria QR Code app

2. Hand sanitiise (and through the event)

3. Practice social distance with event attendees and other stall holders

4. If you, or a member of your team feels unwell that person must not attend and should get tested

​

C. Exhibitor Insurance:

​

All commercial stall exhibitors at the Ficifolia Festival are required to have a current certificate of Public Liability Insurance for $20 million for the duration of the setup, event and site dismantling periods.  A copy must be provided to the Festival Committee at time of booking valid for the period of the Festival and no later than four weeks prior to the Festival opening.  The Committee has scope to extend its cover for some public groups – please contact info@ficifoliafestival.org.au for eligibility requirements.

D. Timing and Location:

​

1. When: The event takes place on Saturday 19th February 2022

2. Where: The event is located in the Drouin Football Oval, Sinclair Street, Drouin, 3818. Upon arrival please look for a member of Ficifolia 2022 team (in hi-vis jackets) to be directed to your pitch. You must register using the Victoria QR Code app. 

3. Start Time: You are able to setup your Stall from 2:00pm and setup must be complete by 3:00pm. 

4. End Time: Fireworks are scheduled for 9:30pm and the Event is due to finish at 10:00pm. Vehicles can not be moved until pedestrians have cleared the site.

E. Site details

Note: No Power is Available for any Stall

​

Note: Securing of your stand to the ground is only allowed via weights (e.g. sandbags) no stall is allowed to be fixed using anything such as a peg or a pin. Weights are to be provided by the stallholder.

• All sites will be unsecured for the duration of the event so please make suitable arrangements for the security of your site. 

• The ensure public safety, vehicle access to some of the sites will be limited. 

• Site fees must be paid in full prior to occupancy and are non-refundable.

• All signage must be provided by the Stall Holder (e.g. menu boards, price signs, etc.)

F: Stall Holder Agreements:

​

Application as a Stall Holder and acceptance of these terms and conditions includes the following:

​

• I/We agree to ensure stall is operational by start times and all vehicles are parked away from the event site.

• I/We understand that submitting this application does not guarantee me a space at the markets, and that is my application is not accepted for any reasons determined by the Festival Committee, any payment will be returned.

• I/We will be responsible for ensuring the safety of the public visiting the stall and that stall site shall be left clean and tidy.

• I/We have attached a copy of our current public liability insurance to cover our stall operations.

• I/We have attached a copy of our COVID Safe plan to cover our stall operations. 

• I/We have attached copies of relevant permits or authorities including handling and selling food products.

• I/We agree that stalls cannot be dismantled or removed until after 10:00pm on Saturday 19th February 2022.
